Job Summary: 

The Project Coordinator plays a vital role in supporting the Project Management team to ensure successful delivery of projects. This position is responsible for assisting with planning, organizing, and executing project activities, maintaining documentation, facilitating communication, and tracking progress. The Project Coordinator works closely with the Project Managers and team to ensure that project objectives are met on time and within scope. 

Duties/Responsibilities: 

  • Assist the Project Manager in developing detailed project plans, schedules, and resource allocation documents. 

  • Coordinate and schedule project meetings, prepare agendas, and document meeting minutes. 

  • Track project progress, update timelines, and report potential risks or delays to the Project Manager. 

  • Maintain and organize project documentation, including contracts, reports, and correspondence. 

  • Facilitate effective communication among project team members, stakeholders, and external partners. 

  • Support the Project Manager in managing budgets, processing invoices, and tracking expenses. 

  • Monitor project deliverables to ensure compliance with established standards and requirements. 

  • Assist with problem-solving and issue resolution to keep the project on track. 

  • Prepare regular status updates and reports for the Project Manager and stakeholders. 

  • Perform other tasks as assigned to support project objectives and team efficiency. 

Required Skills/Abilities:  

  • Strong organizational and time management skills. 

  • Excellent written and verbal communication abilities. 

  • Proficiency in Microsoft Office Suite and project management software (such as MS Project, Asana, or Trello). 

  • Ability to work collaboratively and proactively in a fast-paced environment. 

  • Detail-oriented with strong problem-solving skills. 

Education and Experience: 

  • Bachelor’s degree in Business Administration, Management, or a related field preferred. 

  • Previous experience in project coordination, administration, or a similar role is desirable. 

Physical Requirements: 

  • Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead  

  • Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting  

  • Ability to continuously operate a personal computer for extended periods of time (4 or more hours)  

  • Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions
